085: WHY YOU NEED A BOSS

Thu, Mar 05, 2015

When you talk about entrepreneurship vs. corporate you usually hear the same debate: Security vs. freedom.

Let's pretend that there actually is some amount of security in corporate. Let's even pretend that being an entrepreneur means being free. This is not what this post is about, so we'll just assume this to be correct.

I'm here to talk about the things you loose when you leave corporate. I don't mean "Safety In The Workplace" seminars or knowing when your next paycheck is.

When you go solo, you loose your team members.

No more content creator. No more social media specialist. No more marketing team. No more team leader. No more cleaning personnel. No more secretary.

You knew that being an entrepreneur will mean working on your own and that it will require a higher level of self restraint and will power. What no one told you is that you can't be a successful entrepreneur without playing all the roles that your business needs.

Perhaps you don't mind being the content creator and secretary. You might even agree to be the social media specialist. Perhaps, when everything else fails, you'll play the cleaning personnel's role.

But what if you're really sucky at being the team leader? The manager? The accountant? The marketing team?

There are only 2 options you can choose from:

  1. Eat the frog and do those parts anyway
  2. Hire someone else to do them for you

Most entrepreneurs, at least when they start out, go for the money-saving option #1. Some of them succeed and make it.

Others, however, end up either procrastinating the roles they hate or can't do, or fail doing them. In any event, those who procrastinate long enough reach the point where it doesn't matter. Even if they can do it properly, the resistance is too overwhelming. They convince themselves they will fail at doing this.

Problem is, if you fail in marketing - it doesn't matter how well your content is, because you won't make the sale.

In other words, you need to play all these roles if you want your business to lift off.

So how do you stop procrastinating on the tasks you hate?

Surprisingly, your corporate past might help here. Think about this:

What would happen to the marketing team, if instead of doing their job they would spend it on Facebook? Or on creating content? Or on a super-cool -but-totally-unnecessary new logo for your site?

They would get fired.

In fact, if you were their boss, you'd fire them, too. It's time you realized that unlike corporate, in entrepreneurship if you screw up - you pay for it.

Either start doing the work or fire yourself and hire someone who can do it.

End of story.

061: OWNING THE HOLIDAY SEASON

Thu, Dec 04, 2014

How is this time of year working out for you?

Many people LOVE this time; Everything is so beautiful, Xmas is upon us, and, most importantly, we get to spend a lot of time with our loved ones. The thing is - for many entrepreneurs or location independent people out there, this is the hardest time of the year; We still have projects to finish, stuff we don't have to but want to do before the year ends.

So how do we keep up with work, family and fun time, all mashed into the same season?

I'm a big believer in deadlines; Not only because they make the project real, but also because they trigger our inner instinct for winning and activate Parkinson's law. The best way to keep up with everything is to create self-imposed deadlines on the projects you want to finish before 2015... and reward yourself with family time! This way, you are making sure you plan both in your schedule, and that you make every instinct you have to work for you.

What is your biggest project you want to finish before 2015 begins?

060: 4 STEPS TO STAYING ON TOP OF THINGS DURING THE HOLIDAY SEASON

Mon, Dec 01, 2014

The holiday season is upon us, and we all know what it means.

CHAOS.

We all try to get as much done during this time, making the absolute best of the final few weeks of 2014 - all while trying to relax and enjoy some well-deserved family time. It's hard to keep a balance during this season, and this is exactly why I've decided to share with you my 4-step system to staying on top of things during this time of year.

4 Steps to sanity during the holiday season:

STEP #1: Plan the week ahead.

While usually I'm a fan of the daily planning, during an extra busy time of the year planning ahead your week is a great way to keep on top of everything, knowing in advance what you'll be doing and when.

Start by adding the anchors to your schedule; The meetings, the outdoor activities - everything that is an absolute must and involves either trips or other people.

STEP #2:BRAINSTORM.

Now that you know all the milestones of the week, like family dinners and trips, it's time to outline everything that needs to happen before them. Got a dinner on Friday? Awesome! Now write down what you need to do before - grocery shopping, prep, cooking, cleaning, phone calls etc. Make sure you know every small detail that has to be prepared before you can complete the big task or event.

STEP #3: GATHER TASKS IN ONE PLACE.

Now that you know in great detail which tasks build up to your anchors this week, list them ALL in one place; It can be an organizer, your phone or even a piece of paper -just make sure that everything is in one place, so instead of knowing you have a family dinner on Friday, you also know you have grocery shopping on Monday, prep on Wednesday and cooking session on Thursday and Friday morning. It will allow you to have a better grasp of the free time you have this week, and ultimately allow you to make smart choices.

STEP #4: KEEP YOUR SCHEDULE AT A GLANCE.

Now that you know how your week looks like - always eep it with you at a glance! Make sure that nothing surprises you, because you always have your handy little schedule at hand.

Ready? Steady? GO ROCK THIS HOLIDAY SEASON!

058: CHUNKING TIME TO BUILD EFFECTIVENESS AND PRODUCTIVITY

Mon, Nov 24, 2014

Building a routine is important, but sticking with it is not easy - especially if you're a free-soul-entrepreneur.

The more restrained by our routines and "must-do"s we are, the less effective we get, and the less creativity we're able to produce - and in this business, it means death.

So how do you keep yourself creative AND productive at the same time?

Chinking time is a great method for both creating structure and schedule to your day, while keeping a good level of creativity and room to grow.

Tune in to today's episode to find out how you make it happen in your routine!

055: HOW TO COMBAT TIREDNESS? JULIE ANSWERS YOUR QUESTIONS!

Thu, Nov 13, 2014

In today's episoe I answered a listener's question - Josiah asked: "How can I combat tiredness and laziness?"

To answer your question, Josiah, you are not lazy. There are very few people who do things out of pure laziness, and I want you to stop calling the experience youíre having by using this word.

Tiredeness - this is something we can talk about. So, there are a few things you can do to combat tiredness:

First, and probably the most important is to keep track when you feel tired - are there certain hours of the day youíre more tired? May be youíre not focused at 10am? 12pm? maybe afternoon hours are your bane?

OR, perhaps, there are activities that make yo feel more drained - like after days with gym class, or many hours of math or science? Once you figure out what triggers the tiredness you can pre-plan your days to fit your needs - so for example, if days with gym class are draining physically and you feel more tired afterwards, you can plan ahead that on gym days when you get back home youíll have extra hour to refresh yourself and rest.

Also, if you feel that there is NO trigger, that you ALWAYS feel tired after school or work, you can decide that every day once youíre back home, you start with 30 minutes of complete rest.

Many times, when we feel tired, we try to push-through, which leads to us doing a crappy job AND makes us even more tired - so we basically didnít do what we wanted, we are more tired and we feel like a failure. Allow yourself to rest if your body and mind need it - but donít create too big gaps of it if you feel you need a rest, give yourself 30 minutes. If youíre completely exhausted, take a quick nap.

Another thing to do is to combat procrastination: If you just donít feel like doing your tasks - think of something you WANT to do, a video game, calling a friend, going out for a walk, watching your favorite television show, reading a book - it can be ANYTHING - and decide youíre giving yourself 20 minutes to do this. 20 minutes of fun and adventure, which you will follow with 1.5 hours of working on what needs to get done. After that you can have 20 more minutes and so on. Allow yourself to do breaks not only when you need to rest but also as a reward for your hard work; all work and no play is not a good solution.

Healthy breaks are another issue - instead of reaching for the cookie jar or the chips while watching your fave show on your fun-break, try to have something that will nourish you - a banana, a healthy snack, but most importantly - EVERY break you take needs to have a physical element to it: 2 push-ups, 5 jumping jacks, 1 pull up - ANYTHING that will get your blood flowing and lead more oxygen carrying blood to your brain. Plus - make a rule that eVERY break you finish by having a glass of water. You will not believe how much tiredness and exhaustion can be eliminated by keeping yourself hydrated!

Finally - sleep. The most common reason for being tired is not getting a good enough sleep. Make sure you have enough hours to sleep, as well as leaving you enough time to fall asleep - this way you guarantee enough time for your body and mind to relax and unwind. Try not to snack during 2 hours before sleeping, so to not overwhelm your digestion; Make sure you do stuff that relax you before bed - but you will need to figure out what works for you, because for me- a power walk outside makes me tired and makes falling asleep easy, while my boyfriend finds walks to be invigorating and he canít sleep after them.

So to sum it up - keep healthy, allow yourself to have breaks, make sure your breaks are good for your mind as well as for your boy and sleep well!

054: OWN YOUR TIME ESTIMATION USING THIS SIMPLE HACK!

Mon, Nov 10, 2014

Today weíll talk about the bane of every over-achiever: Underestimating tasks.

I am talking about tasks we are the only ones knowing what it takes to finish them, and so we are the ones giving out deadlines - and later failing to achieve them. We donít do it on purpose - on the contrary! We try to estimate how long it will take us, we often even are willing to add buffer time to the initial estimation, just to be on the safe side, and yet, somehow, we still end up either getting to the finish line breathless or not making it on time at all.

Now, you know I love explaining whatís the problem first, and then how you can fix it - but today Iíll take a different approach: letís work with an example. It will make it easier for you to grasp the concept and start implementing immediately - and weíre all bout the fast implementation here at the Time Hackers:

Letís talk about power point presentations; Weíve all been there: Your boss asks you to create a presentation about the latest project youíve been working on, to show what you have accomplished, and he wants to know how fast can you do it.

So ou think about the topic of the presentation, the points youíll be talking about, you consider it all and then tell your boss that itíll take you about 2 hours to prepare it. I mean, how long should a simple presentation repression take, right?!

Did you see what you did there? You forgot to break this task into single-step tasks. This means you are basically guessing the time estimation, because youíre going with a hunch on how long should a task take, without listing all itís components.

ButÖ How much of difference can it be?! Itís just a power point presentation!

Well, hereís my break down to presentations I nee to prepare:

outline topics, create title, create initial file, choose a template, research for relevant material and data in hard-copies, research in soft-copies, gather added data online, assemble the data and find where I have missing pieces (for example if I am doing a presentation about a healthy lifestyle I led I would love to show a comparison between of how much weight the participants lost during the program & how much weight people in similar positions loose outside the program - so I will need to have national data on weight loss for a certain population, this might be something Iíll need to either gather from the internet OR request from the relevant party), ask for the missing data from the relevant parties, wait for the reply, re-group my topics according to the data Iíve found, and then, for each topic to: outline it, write about each bullet point, edit, proof-read, add photos, add external links, add internal links in the presentation itself, create a table of content, go over the presentation to make sure everything is in place and all the links are working, and finally - rehears the presentation to make sure the flow is right.

NowÖ when you look at it this way - 2 hours doesnít seem as that good of a time estimation, now does it? :)

Taking into consideration all the steps, estimating the creation of a presentation without considering all steps is setting yourself for a failure. in this example Iíve only showed best case scenario - meaning, no rehearsals with your boss, no problems fetching the data and I didnít even mention the time it would take if you canít take the data as is but need to actually do something with it first!

We outline big projects or things weíre doing for the first time, but a familiar, every-day task such as preparing a power point presentation doesnít require us to break it down into steps! We go with a much of ďhow long should this type of task takeĒ instead of actually looking into it as a project of itís own, and this is where weird ourselves into a corner;

Now, Iím aware that creating such an outline for a task takes a bit of time, especially when you do it for the first time, and if your initial hunch tells you itíll take you 2 hours to prepare the presentation, taking 30 minutes to outline it just to make sure your time estimation is correct seems a bit of over-kill; But hereís the thing: you only do it ONCE for a task. Once you have the initial outline of the steps to prepare a power point presentation, once youíre done with the task you can go back and add steps you forgot, and for the next time youíll have a great base for estimation. This is kind of like creating SOPs for your tasks; The immediate benefit being to ALWAYS be ready on time, because your estimations will be precise, and for the long run you will create a new ďhunchĒ for estimating tasks and perhaps wonít need to take 30 minutes to outline certain tasks.

Long story short - if you stop ignoring what you REALLY need to do just because you feel itís taking up more time than what it SHOULD - try to REALLY figure out what goes in this tasks, just to make sure you know how long it SHOULD take, instead of guessing.

053: CREATE THE PERFECT CALENDAR

Thu, Nov 06, 2014

If youíve ever been late for a deadline, you know exactly what Iím going to talk about today; You get a project, you plan it out - so far, so good. You have a deadline, even a few spare hours just in case you run into some difficulties, and then an opportunity presents itself. You get a chance to work on another project, participate in a conference, get one more coaching client or simply have a bit more meetings than what youíve planned.

And now youíre in a pickle; You really want to take up on this new opportunity, BUT - you donít know if youíll manage to squeeze it in along with your existing commitments - after all, you did commit to a deadline.

Iím going to teach you how in 3 easy steps you can determine wether you can participate in this new adventure or not. This simple hack will allow you to NEVER overbook yourself, and always be in control over your schedule.

There are 3 steps:

  1. Add your existing commitments to your calendar. Any meetings, tasks or dedicated slots of time for anything youíre engaged in go on your calendar. If your calendar is visible to others, and you donít want to overcrowd their calendar view, or just donít feel like sharing your time estimations - simply create a separate calendar dedicated to this planning, call it - ďmy todosĒ - and donít share this one with others. Even if you have a big project youíre working on for months, if youíd properly back-planned it, you should have a strict outline of all your missions with their time estimations that you can log into your new calendar.

  2. Understand what youíre facing: Is this new opportunity a one time thing, like a lecture or a call? Is it reoccurring? Does it include tasks youíll do alone? In other words - what are the milestones of this new project- break it down to as small tasks as you possibly can. For each task - estimate how long it will take.

  3. Complete the puzzle - on your calendar you have everything youíre committed to so far. If you can fit the new project in your calendar without moving things around - then you have no problem committing to it. However, if the pieces donít match and you canít find enough time slots on your calendar to fit this new adventure in, youíll need to decide: Either you give up on this new project, because you donít have time for it, OR you postpone the deadlines of your current commitments and fit the new commitment in.

Thatís it! This is really simple because itís exactly like using cash: Imagine you didnít have credit cards and you could only pay with cash - either you have enough cash to buy everything on your shopping list AND a treat OR you need to either give up not he treat or give up on something from your shopping list. This is the exact same thing - your ďcashĒ is your time, and the only way to actually see how it fits is by creating a time-planning calendar for it.
